This policy explains what VitawSon handles when it runs in a Discord server, why it needs that information, and the controls available to members and server administrators.

1. Scope

This policy applies to the VitawSon Discord bot and this website. VitawSon may be self-hosted by a server owner or operator. That operator controls the deployment, database, configuration, and access to stored information, and is responsible for operating VitawSon lawfully in their community.

In short: this website uses no analytics or advertising trackers. Essential session cookies support Discord installation and account access. The bot only processes information needed to provide its Discord features.

2. Data we handle

Depending on which features a server enables, VitawSon may process:

  • Discord identifiers for servers, channels, roles, and users; display names; and permission context.
  • Messages directed to VitawSon, the message they reply to, recent bounded conversation context (on AI-approved servers, up to the last 15 minutes of a channel’s chat, deleted automatically), and short excerpts of human messages in allowed channels used for automatic daily recaps on AI-approved servers.
  • Voice-state metadata such as joins, leaves, moves, and stream status. VitawSon does not receive, record, or transcribe voice audio.
  • With Discord’s presence permission, the name of the game a member is playing. It is held only in the bot’s memory while it runs. The only exception is a roast line that names the game: it is stored briefly while it is delivered and then erased, and any line that is never delivered is deleted within a day. Members who turn off activity sharing in Discord are not seen.
  • Reminders, music queue details, saved playlists (names, source links, ordered song metadata, and the owner’s Discord ID), daily recaps, and server configuration.
  • Operational records such as command audits, error logs, provider usage, and estimated cost.
  • Discord server installation reads the IDs and names of servers you manage. The temporary selection expires after ten minutes; OAuth access tokens are not saved. Installation and cleanup records help enforce the server limit.
  • If a server manager asks for AI features, the requester’s Discord ID, the reason they give, and the operator’s decision.

3. How we use data

VitawSon uses this information to answer messages, provide context-aware conversation, create server-scoped daily recaps of human messages and human voice joins, deliver reminders, manage music and invitations, speak configured announcements, enforce permissions, control cost, diagnose failures, and protect the service from misuse.

Game activity is used for announcements. When someone in VitawSon’s voice channel starts or stops a game, VitawSon says so. If a server’s managers set the behaviour level to 7 or lower, VitawSon may also playfully roast a member who has been alone in a voice channel for three minutes while playing, or who is playing without joining voice. Roasts are limited to that situation and never target appearance, identity, family, or other personal traits. Managers can turn each of these off with /config announcement, or by raising the behaviour level above 7.

Data is separated by Discord server. Information from one server is not used to personalize or answer in another server.

4. Services and sharing

VitawSon receives data through Discord. AI features run only on servers the operator has approved. On those servers, when AI conversation or narrative recaps are enabled, relevant message content and context may be sent to the configured OpenAI API. Music requests may be resolved through the music sources configured by the deployment operator. Text-to-speech is generated locally by default. On AI-approved servers, a roast line may be written by the OpenAI API from the member’s display name and game name only.

VitawSon does not sell personal information or use it for targeted advertising. Information may also be disclosed when required by law, to protect users or the service, or as part of a legitimate security investigation.

5. Retention

Raw recap activity entries are kept for no more than 7 days. Daily summaries retain the configured number of completed local days, defaulting to seven, including days with no recorded activity. Online status and game presence are not stored for recaps. The deployment operator controls retention settings. Temporary conversation context also expires automatically.

Saved playlists remain until their owner or an authorized member deletes them. Saved playlists are visible and playable by members of the same Discord server. Member data deletion removes that member’s playlists in that server; clearing server data removes its playlists. Configuration, reminders, preferences, audit records, and operational data may remain while the deployment or server remains active, unless removed by the appropriate member, administrator, or operator. Provider systems may apply their own retention terms.

6. Your controls

  • For a request to inspect or delete your stored data, contact the deployment operator through your server administrator.
  • To keep VitawSon from seeing your game, turn off activity sharing for the server in Discord’s privacy settings.

These controls apply separately in each Discord server. Some records may be retained when necessary for security, abuse prevention, legal compliance, or to document an administrative deletion.

7. Security and age

VitawSon is designed with per-server data isolation, permission checks, restricted mentions, secret redaction, and protected environment configuration. No system is perfectly secure, so deployment operators should keep the bot and its host updated and restrict database and log access.

VitawSon is intended for people permitted to use Discord under Discord’s own age requirements. If you believe a minor’s information is being handled improperly, contact the server administrator or deployment operator.

8. Changes to this policy

This policy may change as VitawSon’s features or legal requirements evolve. Material updates will be reflected here with a new effective date. Continued use after an update means the revised policy applies.

9. Contact

For a data request or privacy question, contact the administrator of the Discord server where you use VitawSon. If they do not operate the deployment themselves, they can direct you to the deployment operator.
